Electronic Signature
The term "Electronic Signature" refers to any electronic mechanism, not necessarily cryptographic, to identify someone, whether through scanning a signature, identification by fingerprint, IP address, email or simply writing the full name to identify the sender of an electronic message or parties to a contract or document.
It is not necessary. You can electronic sign in two ways.
-Through the electronic signature portal or through the app:
This is the easiest way, because you are allowed to sign without accessing the portal, it is necessary only one signatory in the process.
-Through Petronect Portal (logged area)
For this you need to be registered at the Portal, have a relevant profile and be a signatory.
To act as a responsible for electronic signature process and publish documents in the Petronect Portal, it is necessary to have the following profiles (available via GPAS): Z:MM_PE_ACESSAR e Z:MM_PE_CRIAR.
To sign through the internal area of the Portal, in addition to have to access to electronic folder, you also need to have the profile Z:MM_PE_ACESSAR, available via GPAS. For those who are suppliers, the profile is Z:MM_AD_PROPONENTE, which it must be required through "My account" tab by the administrator user.
To make the electronic signature in the public area of Petronect Portal, it is necessary to click on the menu'' Electronic Signature> Electronic Signature Portal''. After that, enter the key word that you receive in your e-mail. Verify the list of pending documents and then click on the desired document. There will be displayed details of the document and then click on the option ''Sign''.
To perform the electronic signature through the internal area of the Petronect Portal, the user needs his/her login and password to access. Only those who have the correct profile will be able to access the system for signing. For further information, we recommend you to check our training materials in the system or contact us through our available channels.
The password is a set of words and characters used to access the ''Electronic Signature Portal'' on the Petronect Portal. It is received via e-mail entered in the electronic signature document and it is confidential. It must never be disclosed.
The password is valid for 30 days.
Yes, as long as it is within the validity period.
The password is valid for 30 days. If the signatory uses it within that timeframe, it can be reused normally for new signatures.
Access on the menu ''Electronic Signature''>''Signature Portal''. After that, enter the e-mail address and click on the link ''Send password''. The procedure will be carried out through the app by entering the e-mail and then click on ''send password''.
Yes. All you have to do is download the Electronic signature application on your phone by acessing the App Store.
Once the documents are published, signatories and observers receive email notifications by containing the necessary information to access the document.
By accessing the Electronic Signature Portal with your email and password, click directly on the title of the document you want to view. A pop-up will appear on the screen by containing the process information. Within this window, you will find a tab labeled “Process Files", which includes the original document and other related files, all available for download.
Yes. Nevertheless, only registered users with the correct profile will be able to sign and download documents. To download a document by logging in the Petronect Portal, you must have access to the electronic folder which the document is added. When you have access, you must access the electronic folder, navigate until the subfolder with the document, select it and click on "Download" > "Original document."
Yes. The acceptance term will only be shown one time and it represents the guarantee of a secure service to the user.
It clearly establish the rights, duties and responsibilities, both from users and from Petronect, acting as a foundation for regulating proper platform usage and the provision of the offered services .
The token is used to sign specific documents which you are signatory. It is unique for each document, it has 1 hour validity and it may be sent to whatsapp or SMS.
The token is only validy for 1 hour and it is only allowed for use in the requested document. Its reuse in another document is not allowed and a new token must be requested.
When the token expires by clicking in "Sign" in a document, a new token will be sent to the registered mobile phone.
If your information is out of date or incorrect, you will see a button labeled “My phone number is incorrect” during the signing process. Once it is clicked, the person who requested your signature will receive a notification by informing that your data needs to be updated.
In this case, the document can be rejected, but a justificative must be provided.
After accessing the document—whether through the internal or external area—click on “Reject” option instead of “Sign.”
No. Once the document is signed, it will be shown in the signed documents list and the options ''Sign'' and ''Reject'' will be disabled.
The document will be removed from the “Documents to Sign” list. By doing this, the contractor will be notified about the action, and the signature process will be interrupted.
No. After rejecting, it is not possible to turn back the action.
The procedure can be completed through both the public and internal areas of the portal:
Public Area: Click on the menu “Electronic Signature > Electronic Signature Portal.” Enter the email address and password you received via email, then click on “Enter.” Locate the document in the list of signed files and click on “Signed Document” tab to download it.
Internal Area: Access the signature tab associated with your user profile, find it and select the desired document, then click on “Download.”
Users with an observer profile are authorized to monitor the progress of documents within workflows to which they have been assigned.
They may review both completed and pending signatures, in addition to download the original and signed versions of the documents.
No. The user included as an observer is only allowed to access for viewing the documents and workflows.
Only users who have beendesignated as signatories are authorized to perform electronic signatures.
All participants involved in the process flow, in other words the signatories, observers and the responsible contractor.
