Access to the Portal

• 1. I am having issues with the navigation. What should I do?
  • The Portal uses SAP solution and is only compatible with the Internet Explorer browser. Check the links below to improve your navigation, based on the version of your Internet Explorer.

    In order to identify the version of your Internet Explorer, click “Tools” on the top bar of your browser, then click “Help” and “About Internet Explorer”.

    Click here if the version of your IE is 7.0 Click here if the version of your IE is 8.0 or 9.0 Click here if the version of your IE is 10.0 or 11.0

    
    

    If you use Firefox or Google Chrome, we recommend using the free plugin "IE Tab" to improve your navigation.

    In case you use Google Chrome, go to the Chrome Web Store and search for" IE Tab ".

    In case you use Firefox , click Tools » Add-ons and search for "IE Tab".

• 2. I am having issues with session management inside the portal. What should I do?
  • In order to prevent difficulties when managing sessions inside the Portal, you must disable your Pop-up noneer.
    
    To disable the Pop-ups noneer and set up the Petronect domain on your Internet Explorer, follow the instructions below:
    
    Tools > Pop-up noneer > Pop-up noneer Settings > In the field Websites Allowed, type: *.petronect.com.br > Add > Close
    
• 3. I lost my PASSWORD. What should I do?
  • Click on the link “Forgot your password?” and fill in the requested fields with User ID and registered email address then Click on “Submit”. A new password will be sent to the registered e-mail. This is a temporary password and it will expire in 07 days.

• 4. I want to change my Password. What should I do?
  • After the login, click on the menu “The Petronect”, submenu “My Account”. In the section "My Logon Data",click on "Change Password". Fill out the fields “Password” > “New Password” > “Repeat Password” and click the OK button.

• 5. Can I choose any password or is there rules to be followed?
  • Know the rules when resetting your password:

    1. It must contain exactly 8 characters
    2. It must contain at least one character from each of these categories:
    - Uppercase alphabetic(ex: A, Z)
    - Lowercase alphabetic(ex: a, z)
    - Numeric (ex: 0,9)
    3. The “UserID” cannot be used as a part of the Password.
    4. The first 3 characters cannot be equal(ex.: 111, Aaa etc)
    5. It must be different from the last 10 passwords

    Additional Information:
    # Changing your password will be required by the system every 180 days.
    # Remember that your password is personal, nontransferable and is your responsibility to keep it secret.
    # As your password is alphanumeric, always observe if the key “Caps Lock / Fix” on your keyboard is active.

• 6. Can I create any User Login or is there rules to be followed?
  • Know the rules when creating your User Login:

    # It must have a maximum of 12 characters.
    # It cannot contain special characters, such as é ã ë ; /
    # It must be unique, different from the users already registered in the system.
    # It cannot contain spaces.

• 7. I am trying to access a service and/or a page of the Portal and I am seeing a white/gray screen or just a piece of the screen. What should i do?
  • You must clear your cookies and cache in order to visualize the pages of the portal normally.

    To clear cookies, click Tools from the top of Internet Explorer, then Internet Options. Click the Delete Cookies button and then OK.

    To clear your cache, click Tools from the top of Internet Explorer, then Internet Options. Click the Delete Files button and then OK.

    Close and reopen your browser before you restart your navigation through the portal, for these changes to take effect.
    

• 8. Where can I find the Quick Guides and Tutorials for using the system?
  • Log into the Petronect portal and access the menu “The Petronect” » “ Trainings”.

    For further information, acess “Vendors” » “Trainings” on the main page of the Portal.

• 9. Where do I find the communication channels with Petronect?
  • In the Petronect Portal, choose from the menu, the profile type and select “Contact us”.

    You will find there all the contact channels with Petronect, either via phone or web.

• 10. How can I access the history of opportunities that I placed a bid?
  • After the login, click on the “Queries” tab, then click on ‘My Participations and select the desired options.

Tips for the Suppliers

• 1. I cannot open attachments. What should I do?
  • If you are having issues to open attachments on the Petronect Portal, you can try 2 different procedures:
    
    1. Keep pressed the key CTRL of your keyboard when clicking on the file. This action must be performed everytime you open an attachment.
    
    2. Configure your Internet Explorer following the steps below. This action must be performed only once and does not require the action mentioned above.
    
    2.1 On Tools » Internet Options, click on the Security tab:
    
    2.2 Click on Custom Level and enable all options of Downloads.
• 2. Protect your information SECRECY!
  • Your password is personal and untransferable just as the prices of your bids.
    
    NEVER tell them to anyone, not even Petronect personnel.
    
• 3. Do not let your bid for the last minute
  • Prepare yourself beforehand:
    Bidding minutes before the deadline of an opportunity is a risk that you can avoid.
    
    Some actions on navigation or failure on your Intranet, Internet or Internet provider that closes your conection abruptly without log-off can lead to your User being noneed for up to 30 minutes.
• 4. Check if your bid was successfully submitted!
  • After sending a bid to an opportunity, you may take the “Bid Submition Receipt”. Keep the receipt, this this is the guarantee that your bid was sent. If you update your bid you must keep the updated receipt.
    
    Also, check on the opportunity board the column “Status”. The opportunities with sent bid should have the status “Submitted”.
• 5. Doubts when sending the bid?
  • To view the submited bids of your company, go to the "Electronic Quotes" menu, submenu "Opportunity Board", click the "View bid" icon.

• 6. Periodically access Petronect Portal and avoid losing an opportunity
  • Check for new opportunities accessing the portal on the link "Opportunity Board".

    It is importante to access the site daily . The notifications sent by e-mail are only reminders and can suffer delays according to each internet provider.

• 7. Searching for an OPPORTUNITTY?
  • In order to follow na active opportunity select “Current Opportunities” on the status , then click on "Search".
• 8. Be careful when you BID
  • Clearly state if your bid has or not technical differences! Be aware of the deadline to send your bid!
    
    
    
• 9. About Registered Users
  • We recommend you to have more than 2 (two) registered Users.
• 10. Did you know Petronect provides training to its customers?
  • After logging in the portal, go to the menu "The Petronect"> "Trainings" and know the trainings types provided.
    

Suppliers Frequently Asked Questions

• 1. What are the services offered by the Petronect Portal?
  • The Petronect Portal offers electronic transaction services such as Direct and Reverse auctions through Speed source bids and 1 or 2 envelope bids.
    
• 2. What are the benefits for vendors when using the Petronect Portal Services?
  • Through more efficient selling and buying processes, the vendor has benefits that include: Transparency and security on processes, cost reduction, traceability, increased opportunities, bid reports and exclusive service.
• 3. What is the safety when exchanging information through the Petronect Portal?
  • The Petronect security structure was designed following the highest standard practices for financial and confidential transactions. The data travelling in the system is cryptographed, so no one has access. In addition, the designed technical structure comprises two firewalls, that act as additional barriers to protect the transactional environment.
• 4. Who can be registered in Petronect?
  
  • Any vendor registered under the Petrobras System, as long as nominated by any Petrobras unity.
• 5. How to register in Petrobras, Transpetro or BR?
  • Brazilian companies must access www.petrobras.com.br and click on the link “Supplier Channel” for information regarding documentation and how to proceed with the registration. The companies outside Brazil must contact the Petrobras unity on their country.
• 6. I am not receiving notifications and announcements from Petronect. What should I do?
  • The emails may not be received for several reasons. Check below the actions you must take on each case:
    
        My contact information is out of date:
    The Admin user of your company can change the registered email right inside the Portal or contact the Petronect support service clicking on the link “Contact Us” in Vendors.
    
        My ISP uses Anti-Spam tools:
    In order to receive our messages without issues, access the anti-spam settings of your ISP and allow the domains <petronect.com.br> and <petronect.com>. In case of issues with these procedures, contact our Support central or your ISP support central. We also advise to check your “quarantine” folder from time to time and allow the emails from Petronect.
• 7. I forgot my User ID, what should I do?
  • If you are the Admin user of the company, you should contact the Petronect Support Central. For other users, you can ask the Admin user of your company to retrieve your access information.
• 8. My company was invited to a bid and we do not provide the quoted materials, what should I do?
  • If the Opportunity has multiple items, the vendor should bid on the provided items, the not provided items must be declined. If all the items are all of the company’s competence, it is possible to decline the whole opportunity.
• 9. What is a Speed Source Bid?
  • Speed Source Bid is a method of buying referred on the Brazilian constitution order 2745 that disclaims Petrobras from revealing the proposals to the vendors.
    
• 10. What is a 1 or 2 envelope bids?
  • 1 and 2 envelope bids are methods of buying with competence values set by each buyer unity.
    On these bids, the buyers that participate on the quotation ( placing bids or declining ) will be able to visualize the opening of technical and commercial proposals.
    
    OBS: Vendors disqualified on a 2 envelope bid will not be able to visualize the commercial proposals of other participating vendors.
    
    Vendors can also be invited to a DFP envelope bid, which is a 1 or 2 envelope bid where in addition vendors must provide a price formation statement.
    
• 11. What is a Small Value bid, or CRISTAL bids? (Brazil Only)
  • The CRISTAL bid method is only available when selling to Petrobras Brasil and is used when Petrobras needs services of a small value, that being said, if your company receives a CRISTAL bid invitation, you will know that there is a small value service bid for your company to quote.
• 12. Can I attach files or write comments on a CRISTAL bid opportunity? (Brazil Only)
  • When quoting on a CRISTAL bid you should not attach files or write comments, if you wish to send files or messages to the buyer, use the email.
• 13. Can I attach files or write comments on a Small Value bid?
  • In "Electronic Quotes > Opportunity Board", click the "Opportunities" tab, then on "Header" and then the "Notes" link. On this page you can add information to the buyer/contractor in the "Insert Comment" field and attach files in the "Attachments" field.
    
    *Only for the RNCE unity.
    
• 14. On a 2 envelope bid, where can I attach the technical and commercial proposals?
  • In edit mode, click on “Notes and Attachments”, under the Header tab.

    After clicking the button “Add Attachment” you can browse and insert your file. To finish, browse and select the category of the file, if Technical or commercial proposals, on “Type”.

• 15. Where do I insert technical attachments and the price formation statement on a 1 or 2 DFP envelope bid?
  • In edit mode, click in “add attachment”, inside the “Notes and attachments” menu, under the Header tab.

    On a 1 DFP envelope bid, insert the price formation statement and choose the option “DFP”, on Type.

    For the 2 DFP envelope bids, insert the price formation statement, choosing the option “DFP” on type, then insert the technical attachments ( or the eligibility for services documents ) and choose the option “Technical Proposal”, on Type.

• 16. What value should I place on the field “Price” on a MATERIALS quotation? What about the ICMS and IPI fields? (Valid only when bidding for Petrobras Brasil)
  • When bidding on materials, the company must insert the price per unit, with no IPI and ICMS taxes.
    On the ICMS and IPI fields, the company should inform the tax collection rates, and the companies registered under the SIMPLES tax method should insert 0 (zero) for these fields.

• 17. What value should i place on the field “Price” on a CRISTAL services quotation? What about the Attributes? (Valid only when bidding for Petrobras Brasil)
  • When bidding on CRISTAL quotations, the company must insert the gross price, with all the taxes.
    On the attributes tab, the company should inform the replaced parts percentage. In case of no replaced parts, always inform 0 (zero).
• 18. What value should I place on the field “Price” on a Small services quotation? What about the Attributes?
  • When bidding on a Small services quotation, the company must inform the gross price, with all the taxes.
    On the attributes tab, the company should inform the replaced parts percentage. In case of no replaced parts, always inform 0 (zero).

• 19. What value should I place on the field “Price” on a Small services or a Speed source quotation that also has material items?
  • When bidding on the material items, the company must insert the price per unit, with no IPI and ICMS taxes. (For each item).
    
    On the ICMS and IPI fields, the company should inform the tax collection rates, and the companies registered under the SIMPLES tax method should insert 0 (zero) for these fields.
    
    When bidding on the service items, the company must inform the gross price, with all the taxes

• 20. What are the changes on the bidding process with the inclusion of the COFINS and PIS/PASEP fields?
  • For vendors, Petrobras has created 2 new mandatory fields for each item: COFINS and PIS/PASEP. Both fields must be filled with in percentage. There will be no changes when filling the remaining attributes.
    
    Remember that for MATERIALS, the company must inform the net price, which means, without the IPI and ICMS taxes, however, added with the COFINS and PIS/PASEP taxes.
    
    For SERVICES , the company must inform the gross price, with all the taxes.
    
• 21. What is the NCM information and where do I find these codes? (Valid only when bidding for Petrobras Brasil)
  • The NCM ( Nomenclatura Comum do Mercosul ) is the fiscal classification that is utilized when bidding on MATERIALS for Petrobras Brazil. This classification does not include Services.
    
    You can check the NCM table clicking on the menu Vendors > Tools. In case you cannot find your product’s code, contact your buyer or the product manufacturer.
    
• 22. I send my bid with the wrong information, can i change it?
  • Yes, as long as the opportunity is active ( before the deadline ), the company can modify the information sent as many times as needed. Remember that only the latest bid will be valid.
    
    In order to modify your bid, click on the “Edit bid” icon, then insert the right information. Remember to click on the “Send” button again to overwrite the old information.

• 23. How do I know if my bid was sent?
  • After clicking the “Send” button, the following message will be showed:
    
    The Bid is complete and contains no errors. The bid was sent.
    
    To confirm the sent information, search for the opportunity on the Opportunity board, on the column “Status” you will see the “Bid Submitted” status, you can also click the “Show Bid”, in the column named “Actions”.
• 24. In the auction, when and why should I send the price equalization spreadsheet? (ONLY for bids of Petrobras BRAZIL)
  • The price equalization spreadsheet that the buyer provides in the information from the purchaser tab, must be completed and forwarded according to the instructions and the deadlines of the Invitation Letter.
    
    The information of the Equalization Spreadsheet help the buyer to decide the winner of the auction.
    
• 25. How can the price equalization spreadsheet help the vendor during the auction? (ONLY for bids of Petrobras BRAZIL)
  • During the auction, the spreadsheet will work to facilitate the gross price calculation, for example, in the case of a whole lot, if the vendor changes the price of one item, the spreadsheet will automatically recalculate the total price.
    
• 26. What should I do if my Live Auction Monitor is not updating the auction screen?
  • If you notice that the information is not being updated in the Live Auction Monitor, close the window and click again in “enter Monitor Live Auction”. In case of any difficulties during the auction, contact the Auction Support Team immediately.
• 27. How should I proceed if when accessing the Live Auction Monitor returns to a blank screen?
  • In this case it is necessary to access the website www.java.com and verify the version of the Java installed in your computer. In case you do not have the app installed or the minimum version required, it is necessary install it. In case of any difficulties during the auction, contact the Auction Support Team immediately.
• 28. What should I do if I cannot visualize all the information Live Auction Monitor?
  • In this case it is possible to move the columns in grey on the top of the page from the left to the right. In case is necessary, it is also possible to move vertically with the mouse two other horizontal lines: the first is the grey one, located above the details and the second one is the line above the system messages and the chat.
• 29. Who defines the deadline for quotation and the vendors invited to the opportunities?
  • The process of purchasing / contracting Petrobras is defined by the Petrobras Purchaser, since he is the responsible for all the process and its procedures. The deadline for quotation is also defined by the Purchaser, according to the necessity of the user for the material/service requested.
• 30. The purchase and /or opportunities processes are available to every Material / Service to be quoted? (ONLY for bids of Petrobras BRAZIL)
  • The process of purchasing/contracting Petrobras is regulated by the Decree 2745 in which Petrobras is provided to disclose its shopping opportunities / contracting publicly. The process of purchasing / contracting of Petrobras which differs from the Act 8666 in which all the shopping opportunities / employment are public.
• 31. How can I contact the buyer that asked for the bid?
  • For Materials and Small Services, the vendor should contact the buyer through the Collaboration room, available from the moment the company is invited to the opportunity.
    On CRISTAL opportunities, the vendor must get in touch by e-mail or telephone. This information can be found on the edict, attached to the opportunity.
• 32. What is the Collaboration Room?
  • It is where vendors and buyers can clear their questions and share messages and files.

• 33. How can I solve my questions about the technical informations of the material I am bidding on?
  • Commercial doubts should be solved with the buyer who asked for the bid, through the Collaboration Room. Only question regarding the Portal should be directed to Petronect.
• 34. I have doubts on how to place a bid, how can I solve them?
  • Access the online course “Bid Invitation”, available after the login, on “Training” > “Self-Empowerment”.
    In case you are not able to place your bid properly, contact us through one of our Contact channels.

• 35. Doubts regarding Electronic Invoice sending?
  • The user has two options in order to send his electronic invoice to Petrobras through the Petronect Portal:
    
    1. Through Email
    The user may send his electronic invoice to nfe@petronect.com.br
    Important: Your invoice must be attached to the email.
    
    2. Through the Petronect Portal
    To send your invoice through the Petronect Portal, follow the steps bellow:
    Log in the Portal and access the menu “NF-e”, then click in “Load”. Load your invoice in the system, then click “Start”, as it show the image bellow.
    Once the upload starts, the system will validate the NF-e being sent to Petrobras. It is required to access the menu “Status Check” and verify if the invoices were uploaded successfully on the Petrobras system.

• 36. What is the telephone number of the Web Support?
  • Every channel that Petronect makes available for its clientes in Brazil and other countries are Detailed in Petronet Portal, choose in the menu the profile used and select the Web Support.
